Football Coaching Terms & Conditions

These Terms & Conditions apply to all football coaching sessions delivered by DS Technical Excellence ("Dan Stobbart").
By registering and booking a coaching session, the parent or legal guardian confirms that they have read, understood and agreed to these Terms & Conditions.
1. Bookings & Payment
- All sessions must be booked through the official booking system.
- Payment is required at the time of booking unless otherwise agreed.
- A booking is only confirmed once payment has been successfully received.
- Places are limited and allocated on a first-come, first-served basis.
2. Cancellation Policy
Parent Cancellation
- Cancellations made more than 24 hours before the session may, at the Coach's discretion, be transferred to another available session.
- No refunds or credits will be provided for cancellations made within 24 hours of the session.
- Failure to attend a booked session without prior notice will result in the full session fee being charged.
Coach Cancellation
If a session is cancelled by the Coach due to illness, unsafe weather conditions or unforeseen circumstances, parents will be offered one of the following where appropriate:
- A replacement session;
- A credit towards a future session; or
- A refund.
3. Weather Conditions
Sessions will normally continue during light rain.
Sessions may be cancelled where conditions are considered unsafe, including:
- Lightning;
- High winds;
- Flooding;
- Unsafe playing surfaces;
- Extreme temperatures; or
- Any other conditions that may present a risk to participants.
Parents will be notified as soon as reasonably possible if a session needs to be cancelled.
4. Parent / Guardian Attendance & Responsibility
For safeguarding reasons, a parent or responsible adult (aged 18 or over) must remain at the venue for the duration of each coaching session.
The Coach is responsible for delivering football coaching only and is not providing a childcare service.
Parents or guardians must:
- Remain contactable at all times during the session.
- Be available immediately should their child require assistance, become unwell or need to leave the session.
- Ensure they are present before the session begins and after the session finishes.
Children must not be left unattended before or after coaching sessions.
Responsibility for the child remains with the parent or responsible adult outside the scheduled coaching period
5. Toilet Facilities
Parents or the responsible adult remains responsible for accompanying their child to and from toilet facilities where required.
Coaches will not accompany children to toilet facilities except where an immediate emergency requires assistance to protect the child's safety.
6. Medical Information & Emergency Details
Parents must provide accurate and up-to-date information regarding:
- Medical conditions;
- Allergies;
- Injuries;
- Additional needs;
- Medication requirements;
- Emergency contacts.
The Coach must be informed immediately of any changes.
Parents are responsible for ensuring any required medication (for example an inhaler or EpiPen) is available at the venue.
7. Emergency Treatment
In the event of an accident or medical emergency, the Coach may:
- Provide appropriate first aid where qualified;
- Contact emergency services where required;
- Contact the parent, guardian or emergency contact as soon as reasonably possible.
8. Safeguarding
The safety, welfare and wellbeing of every child is our highest priority.
To help provide a safe coaching environment, parents or legal guardians are responsible for ensuring that:
- Registration, emergency contact and medical information is accurate and kept up to date.
- A parent, legal guardian or responsible adult (aged 18 or over) remains at the venue throughout the duration of each coaching session.
- The Coach is informed before the session of any medical conditions, injuries, additional needs or other information that may affect the child's safe participation.
- Any required medication is available at the venue.
The Coach reserves the right to refuse or withdraw a child's participation where:
- Appropriate supervision is not available.
- Required medical or emergency information has not been provided.
- Participation is considered unsafe for the child or others.
- A parent or responsible adult does not remain at the venue as required.
Any safeguarding concerns will be managed in accordance with our Safeguarding Policy and, where appropriate, may be reported to the relevant authorities.
9. Player Behaviour
Players are expected to:
- Respect coaches, teammates and other participants.
- Listen to instructions.
- Play safely and fairly.
- Use appropriate language.
- Treat equipment and facilities with care.
- Encourage and support others.
Persistent poor behaviour or behaviour that creates a safety risk may result in removal from sessions without refund.
10. Parent Behaviour
Parents and spectators are expected to:
- Treat coaches, players and other families with respect.
- Encourage children positively.
- Allow coaches to deliver sessions without interference.
- Avoid abusive, aggressive, discriminatory or inappropriate behaviour.
The Coach reserves the right to refuse future bookings where behaviour is unacceptable
11. Clothing & Equipment
Players should attend sessions with:
- Suitable football clothing;
- Appropriate footwear;
- Shin pads where required;
- Weather-appropriate clothing;
- A labelled drinks bottle.
12. Photography & Video Consent
Photographs and videos may occasionally be taken during coaching sessions for coaching, promotional and marketing purposes.
Images will only be used where parental consent has been provided.
Parents may withdraw consent at any time by contacting the Coach.
Children will not be identified by full name alongside images without additional permission
13. Personal Property
The Coach accepts no responsibility for lost, damaged or stolen personal belongings.
Parents are encouraged to ensure all belongings are clearly labelled.
14. Liability
Football is a physical activity involving an inherent risk of minor injury.
The Coach will take reasonable steps to provide a safe coaching environment. However, participation is undertaken with the understanding that football involves normal sporting risks.
Nothing in these Terms & Conditions excludes liability where it cannot legally be excluded.
15. Data Protection & Privacy
Personal information is collected to:
- Manage bookings;
- Provide safe coaching;
- Maintain emergency contact information;
- Communicate with parents;
- Meet safeguarding responsibilities.
Information will be stored securely and handled in accordance with UK data protection legislation.
Personal information will not be sold or shared except where required by law or where necessary to protect a child's welfare.
16. Complaints
Any concerns or complaints should be raised directly with the Coach.
The Coach will aim to respond promptly and resolve concerns fairly.
17. Changes to Terms & Conditions
These Terms & Conditions may be updated from time to time.
The latest version will be made available through the booking system or website.
